Forms: build, embed and review enquiries

What Forms does

Forms is a drag-and-drop builder for contact and enquiry forms. You paste a code snippet into your website, and every submission arrives in Enydea as a form entry that your team can add to the CRM or answer by email. A landing page can show the same form (Landing pages).

Before you start

  • Select a relation in Current Account in the sidebar. Forms are stored under that relation. Only marketing relations appear in that list (Relations and CRM).
  • To show a form on your website, you or your web developer must edit the page's HTML.
  • To reply from inside Enydea, connect a mailbox (Settings -> Email Integration). Without one, Reply by email opens your mail program.

Create a form

  1. Click Forms in the sidebar.
  2. Click the + button (Create new Form). A form called "New form" opens on the Edit form tab.
  3. Or let AI draft one instead: click the sparkle button (Generate a form with AI), describe the form under Describe the form you want, and click Generate.

AI always creates a new form, so nothing you built is overwritten. It adds a Send button. Review the result; AI generation counts as AI usage. To copy or delete a form, use the three-dots menu in Form settings.

Set up the form

Open Form settings on the Edit form tab.

  • Form Box color, Text color, Highlight color, suggestion color, Select font and font size style the form.
  • Thank you note and Thank you image appear after someone sends the form. Write your own note.
  • Add submissions to CRM automatically turns every submission into a relation with a contact person. Existing contacts are matched on email address, so nothing is duplicated. A submission needs an email address, or a name or company.
  • Select action after send offers save contactform, send as email, save as contact and save as message. Enydea saves your choice, but every submission is handled the same way: it is stored as a form entry and your team is notified.

Type a Form name above the preview, and click Save form (the disk icon) when you finish.

Add elements

Drag items from Tools into the form: onto DROP NEW for a new row, or into an existing row to place items side by side. Click an item to change it under Customize Element. Icons next to an item delete it or copy it (Copy element, added as a new row at the bottom); row arrows move or delete rows.

  • Button: a new button has no action. Select it and choose Send form as its action, or the form cannot be sent.
  • Inputfield: pick an Input type for every field. Choose email for the email address. Reply by email and CRM matching rely on it. Tick required to make a field compulsory.
  • Hidden field: on your website, the utm_ sources and page url read the address of the form frame, not of your page. custom value always works, for example to label the page the form sits on.

Show a field only when another field has a value

  1. Click the field.
  2. Tick Show only when:.
  3. Under This field:, pick the field that controls it.
  4. In Contains value, type the value to match.

Despite the label, the match is exact: the field appears only when the controlling field has exactly that value. On your website the form re-checks only when a Selectionbox changes, so use a Selectionbox as the controlling field.

File uploads

  • Uploads work in the embedded form, not on landing pages. The entry shows the file as a Download file link.
  • Whatever you enter in Max size (MB), Enydea accepts only files up to 15 MB of these types: JPG, JPEG, PNG, GIF, WEBP, PDF, DOC, DOCX, XLS, XLSX, PPT, PPTX, TXT and CSV. Allowed types can narrow this.
  • Enydea manages the file storage. If visitors see "File upload failed", contact support.

Get the embed code

  1. Select the form.
  2. Click Get implementation code (the code icon). A dialog titled Copy Code opens.
  3. Click Copy Code.
  4. Paste the code into your page's HTML where the form should appear.

The code is a frame that loads your form from Enydea plus a small script that sizes it. Later changes you save appear on your site without pasting the code again.

Handle entries

Open the Form entries tab. Each card shows the first filled fields, the date and the source of the visit.

  • Use Search all fields and the Status filter (All, New, Processed). Clear filters resets them.
  • Click an entry to open Form Entry Details. Enydea fills the CRM fields from the entry and may suggest a matching relation (Use this match). Under Add to CRM, choose an existing relation or tick Create new relation, optionally tick Log as call or Add contact person, and click Save. Saving marks the entry Processed, even if you changed nothing.
  • The person icon (Add to CRM) adds the sender without opening the entry. Added entries show Already added to the CRM. Entries the automatic option added can still offer Add to CRM; clicking it creates no duplicate.
  • Reply by email (the envelope) appears only on entries that have an email Inputfield.

Where entries also appear

  • System Messages (the bell) shows "Received new Form entry"; clicking it opens the form on Form entries. With Form notifications ticked under Settings -> Account -> Notification Preferences you also get an email, but its link does not open the entry. Open Forms instead.
  • Action Items -> Form Submissions lists entries waiting for you. That screen is English-only in every app language. Open the entry itself from Forms.
  • The dashboard can show a Form submissions widget (Add Dashboard Components -> Add form submissions).

Limits

  • On a landing page the form leaves out File upload, Hidden field and conditional fields, and Add submissions to CRM automatically does not apply. Use Add to CRM there.
