Set up a bulk email domain
Goal
Campaign emails go out through a domain you own, not through your mailbox. In this tutorial you register a sending domain, add its DNS records, verify it and create an address to send from. Plan about 15 minutes of work, plus the time DNS changes need to spread.
What you need
- A domain you own, and access to its DNS settings (or someone who has it).
- A name for the sending subdomain, for example
mail.yourdomain.com.
Note: The Email & Domain Setup card stays in English in the Dutch, German and French app.
Why a subdomain
Use a subdomain such as mail.yourdomain.com. The screen suggests it to avoid conflicts with existing email. If you register a bare domain that already receives mail, the guide warns that the MX records would move all of its incoming mail. A name can also carry only one SPF record; the guide warns if it finds another.
Steps
- Click the gear icon in the sidebar footer to open Settings. Open the Email Integration tab and scroll to Email & Domain Setup.
- On the Domains tab, enter your subdomain in Domain Name and click Register Domain. You see "Domain registered successfully!". If another company already registered it, you get an error saying so.
- The domain appears under Registered Domains as Pending DNS Setup, and DNS Setup Guide opens below. To reopen it later, click the settings icon on the domain.
- Read the line "DNS for ... is managed at ...". Enydea detects your DNS provider from the nameservers. If it is wrong, change Show instructions for. The list includes Cloudflare, GoDaddy, Namecheap, TransIP and Amazon Route 53, plus Other Provider.
- Follow the steps for your provider and read any warnings. For example, on Cloudflare the tracking CNAME must be set to DNS only.
- Add every record at your DNS provider. For each one the guide shows the type, Host, Value and, for MX, the priority. Use the copy buttons or Copy all. If your provider can import a file, click Zone file instead. Many panels want only the Host shown, because they add your domain themselves; follow the wording the guide gives for your provider.
- Each record says why it matters: Required to send, Needed to receive replies or Needed for tracking.
- Click Verify Domain. The screen says changes usually show within 5-30 minutes but can take up to 48 hours. If it says "DNS records not yet propagated", wait and click again.
Each record shows its state: Not found in DNS yet, Found in DNS — waiting for Mailgun to re-check and Verified by Mailgun. The DNS Verification Progress bar fills as records verify.
Create email addresses
- Open the Email Addresses tab.
- Enter Address (for example
sales), choose the Domain, and enter Forward To, a mailbox you read. Add a Description if you like. - Click Create Email Address.
Mail sent to that address is forwarded to your mailbox. Replies to your campaigns go to the address in Send from, so create that address here. Receiving needs the MX record from the guide.
Check your work
- The domain shows Verified under Registered Domains, and the guide reads "Domain verified and ready to use".
- Every record says Verified by Mailgun. A campaign is only sent when Mailgun reports all of the domain's records as valid.
- Send a message to your new address from another account and check that it arrives in the mailbox you forward to.
Warning: The bin icon next to a domain removes it immediately, without asking.
About sending speed
Campaign mail is metered per sending domain. By default, no more than 80 messages per hour are sent for each domain. A larger list is sent over several hours, and the rest waits in a queue.
