Connect your mailbox
Goal
Connect your own mailbox so you can read, send and track email from Enydea. This takes about 10 minutes.
What you need
- The login of the mailbox you want to connect.
- For Office 365: be aware that some company accounts need a Microsoft 365 administrator to approve Enydea first.
- For Gmail and most other providers: an app password if the account uses two-factor sign-in. Create it in your provider's account security settings.
Steps
Settings, Email Integration.
- Click the gear icon in the sidebar footer to open Settings, then open the Email Integration tab.
- In Your Personal Mailbox, open Select Provider and choose one:
- Microsoft Office 365
- IMAP / SMTP (other provider) for Gmail, Google Workspace, Outlook.com, Yahoo, Fastmail, Zoho and others
- Google Gmail is also listed. For Google accounts, use IMAP / SMTP with the Gmail preset instead.
- For Office 365, click Connect Account. Your browser goes to the Microsoft sign-in page in the same window. Sign in, approve, and you return to Settings.
- If Microsoft asks for administrator approval, click Temporary connection (no admin approval) instead. It lasts about an hour. You must reconnect until your Microsoft 365 administrator approves the app.
- For IMAP / SMTP, click a Quick fill button, for example Gmail / Google Workspace (app password). The presets are Gmail / Google Workspace, Outlook.com / Microsoft 365, Yahoo Mail, Fastmail and Zoho Mail. They fill in IMAP server, Port and the SMTP details.
- Enter your Username and Password (an app password if your provider requires one). Click Connect Account.
- Enydea checks receiving and sending. If the password is wrong or sending fails, an error explains what to fix and the form stays open. Correct it and click Connect Account again.
Tip: To change an IMAP mailbox later, click Edit settings. The password is not shown, so enter it again to save.
Test and tune the connection
- Under Connection Status, check that it says Connected, then click Test Connection. A message confirms "Connection test successful!" or says the test failed.
- Under Synchronization Settings, keep Enable automatic email synchronization on and pick How often to sync: 5, 10, 15 or 30 minutes, or 1 hour. Sync Now syncs at once.
- Under Sender Settings, set From / display name, Reply-To address, Default CC, Default BCC and Email footer / disclaimer, then click Save Sender Settings. Office 365 may ignore the display name, depending on your company's policy.
- Scroll to Email Signatures and click Add Signature. Enter a Signature Name, choose When to use this signature (Always, Date Range or Rotating), write the content and click Create. The signature is added to new messages, and you can switch it off in the compose window.
Optional: connect a shared team mailbox
Only a company admin can do this, and only for Office 365.
- At the top of Email Integration, find Company Shared Mailbox.
- Enter the Shared mailbox address. You need Full Access and Send As permission on that mailbox in Microsoft 365.
- Click Connect via Office 365 and sign in.
- To make it the team default, switch on Use as the default mailbox for the whole team. Everyone can still switch to their own mailbox in the Mailbox.
Check your work
Open Mailbox in the left menu. The top of the screen should say Connected with your address. Compose a message to yourself and check that it arrives.
If the connection stops working
Connections can stop working, for example when your provider ends the sign-in. You will see Not Connected in the Mailbox, a message offering Reconnect when you send, or "This connection needs to be reconnected" on the shared mailbox card. Return to Settings -> Email Integration and click Connect Account (or Reconnect) again. A temporary Office 365 connection always ends after about an hour.
